Signing up students for programs with limited space just got easier, thanks to FutureFund’s new waitlisting feature. Use this tool to track interest, expand your capacity as needed, and notify parents when new spots open up.

Waitlisting makes it easier to manage popular events like Sober Grad Nights, chess clubs, and more—especially when you’re dealing with buses, chaperones, or other resources that limit participation. Learn how to plan better, communicate more effectively with parents, and run more efficient fundraisers with our free platform for K-12 school groups.

Why use waitlists?

Waitlisting helps you:

  • Gauge demand before committing to more resources (like renting another bus for a grad night).
  • Keep parents informed as soon as new spots open up—no more guessing games!
  • Avoid overbooking or scrambling to adjust when programs fill up fast.

Managing capacity for Sign-Up campaigns

When creating a Sign-Up campaign in FutureFund, you’ll now see a section called Sign-Up Capacity and Waitlisting. You can choose from two options:

  • Unlimited: lets anyone sign up, no limits.
  • Simple: lets you cap the number of available spots by entering a number in the Inventory box.

When you choose the Simple option, FutureFund automatically tracks the number of spots claimed and updates the remaining inventory as people complete their sign-ups. It really is as simple as that!

Enabling the waitlist

If your campaign reaches capacity, you can now enable waitlisting with a single checkbox. Just select “Enable waitlist when capacity is full.”

Once enabled:

  • The purchase section on the campaign page will be replaced with an option to join the waitlist.
  • Users can join the waitlist by providing their email addresses.
  • All waitlisted users then become visible under the Waitlist tab in the campaign editor.

Notifying waitlisted users when new spots open up

When you’re ready to add more spots to your campaign (for example, if you’re adding another bus for Sober Grad Night), you can message everyone on the waitlist in just a few clicks.

  • Go to Messaging > Email and click Compose.
  • Under the Section menu, select Waitlist.
  • Choose the campaign you want to notify.
  • Craft your message and include a link to your campaign so users can sign up quickly.

Tip: Including the shareable link to your Sign-Up campaign helps drive conversions by making it easy for users to grab a newly available spot!

Frequently asked questions about waitlists

How do I make new spots available for my sign-up campaign?

In the editor, adjust the number in the Inventory box. FutureFund will reflect the updated capacity automatically.

Can I limit sign-ups so only waitlisted users can claim the new spots?

You can remove the campaign from your store and share a private link through our built-in messaging system—but it’s usually better to keep it public so that others can take advantage of the newly available spots if the members of your waitlist don’t. The best way to use the waitlist is to notify interested parties and give them a head start.

Can I message people on the waitlist individually?

Waitlists are designed to help you contact all interested parties for a Sign-Up campaign fairly and efficiently. All waitlisted users receive the same notification when new spots open.

How do people on the waitlist buy spots when they become available?

The same way they would if there was no waitlist—by visiting the campaign page and making a purchase! You can make this even easier by including the shareable link to your Sign-Up campaign when you send out notifications to let the waitlist know new spots are available.
